Pipedrive Migration

You've outgrown Pipedrive. That's a good thing.

Pipedrive is an excellent sales CRM. But when your business needs project management, cross-team workflows, and intelligent automation alongside your pipeline, you need a platform, not just a CRM. We help teams graduate to monday.com without losing a single deal or contact.

The pattern

The pattern we see again and again.

Pipedrive is often the first CRM a growing sales team falls in love with. Then the business evolves, and the gaps start to show.

1
Phase 1

Pipedrive is perfect

Small team, simple pipeline. Deals move through stages. Everyone's happy. The drag-and-drop pipeline view is a genuine upgrade from spreadsheets.

2
Phase 2

You start bolting things on

You need project tracking, so you add the Projects add-on. Lead capture? LeadBooster. Document automation? Smart Docs. Each add-on adds cost and complexity. Your 'simple CRM' now has a growing bill and multiple disconnected features.

3
Phase 3

The workarounds multiply

Your ops team uses Trello. Marketing uses something else. Nobody has a single view of the customer. You're running Zapier automations to bridge systems, manually updating reports, and context-switching between tools all day.

4
Phase 4

You realise you need a platform

Sales, projects, operations, and reporting, in one place. With automations that actually handle complexity. That's monday.com. And the migration is simpler than you think.

When teams outgrow it

The pattern we see again and again

Pipedrive is often the first CRM a growing sales team falls in love with. Then the business evolves, and the gaps start to show.

Pure sales pipeline simplicity stops being enough

Pipedrive's focused UI is hard to beat for pure sales tracking. But once you need project tracking, lead capture forms, document automation, and multi-team workflows, you start bolting on add-ons. Each add-on costs more and adds complexity.

Add-ons multiply, costs compound

Projects add-on. LeadBooster. Smart Docs. Campaigns. Each add-on adds cost and complexity. Your "simple CRM" now has a growing bill and multiple disconnected features that should have been native.

Workarounds spread across tools

Your ops team uses Trello. Marketing uses something else. Nobody has a single view of the customer. You're running Zapier automations to bridge systems, manually updating reports, and context-switching between tools all day.

Reports require exporting to spreadsheets

Pipedrive's reporting is good for pipeline but limited beyond that. When leadership wants a cross-team view, you end up exporting to Excel, building pivot tables, and emailing PDFs. The platform that was meant to give you visibility now creates an extra step.

What you gain

What monday.com gives you that Pipedrive doesn’t.

CRM and projects in one workspace

When a deal closes, a project board can be created automatically, tasks assigned, timelines set, client onboarding kicked off. No switching between tools. No duplicate data entry. Your sales team and delivery team see the same customer in the same system.

Workflows that handle real complexity

Monday.com's visual workflow builder supports multi-step processes across boards, with if/else branching, time delays, integration actions, and AI blocks. Pipedrive's automations are effective for simple triggers, but monday.com handles the complex, multi-team processes that growing businesses need.

AI that's built into the platform

Monday sidekick summarises projects, flags risks, and recommends next steps. AI blocks classify, extract, and analyse data inside automations. The AI workflow builder lets you describe what you need in plain English. MCP connects external AI models directly to your data. This isn't bolt-on AI, it's foundational.

Dashboards that show the full picture

Monday.com dashboards pull data from multiple boards, sales, projects, operations, into one view. 30+ widget types, real-time data, and the ability to drill down into any metric. No more exporting to spreadsheets to build the report your leadership actually wants.

Our process

How we migrate you from Pipedrive.

Role-specific training, recorded walkthroughs, and post-launch support. Your team transitions smoothly, keeping the simplicity they loved about Pipedrive, with the power they now need.

Honest take

When Pipedrive is the right call

We won’t recommend a migration when staying put is the better choice. Here’s when it makes sense to keep what you have.

Pure sales pipeline simplicity

If your team only needs deal tracking and activity management, nothing more, Pipedrive's focused UI is hard to beat. It was built for exactly this, and it shows.

Fast onboarding for small teams

A 2–3 person sales team can be up and running in Pipedrive in hours. Monday.com offers more power, but the initial setup requires more planning to get right.

Mobile app for field sales

Pipedrive's mobile experience is excellent for reps who live on the road. Monday.com's mobile app is strong but more workspace-oriented than sales-pipeline-specific.

Microsoft 365 integration depth

For teams deeply embedded in the Microsoft ecosystem, Pipedrive's Outlook and Microsoft 365 integration is particularly well-regarded. Monday.com integrates with both Google and Microsoft, but Pipedrive's Microsoft sync is notably smooth.

Common questions

Honest answers on migrating from Pipedrive.

How long does a Pipedrive to monday.com migration take?+
Typically 1–3 weeks. Pipedrive's data structure is relatively clean, which makes migration straightforward. Complex setups with extensive automations, multiple pipelines, and many integrations may take a little longer. We'll give you an accurate timeline after the free assessment.
Will my pipeline stages and deal history transfer?+
Yes. We migrate your full pipeline structure, stages, deal values, expected close dates, and deal history. We also transfer activities, notes, email logs, and file attachments so your team has complete context from day one.
Can monday.com handle the same sales pipeline workflow as Pipedrive?+
Absolutely, and more. Monday CRM includes a visual pipeline (Kanban and table views), deal tracking, contact management, email integration, and activity logging. But it also adds cross-board workflows, AI-powered automation, project management, and dashboards that Pipedrive requires add-ons or external tools to achieve.
What about my Pipedrive integrations?+
We audit every integration during the assessment. Most common integrations, Gmail, Outlook, Slack, Google Calendar, Zoom, accounting tools, have native monday.com equivalents. For anything custom, we build connections via Make.com or the monday.com API.
I actually like Pipedrive. Why should I switch?+
That's a fair question, and many of our clients felt the same way. The switch usually makes sense when your team needs more than sales tracking: project delivery, cross-team dashboards, complex automations, or AI capabilities. If Pipedrive still fits, stay with it. If you're bolting on add-ons and external tools to fill gaps, that's usually the signal it's time to consolidate.
How much will I save compared to Pipedrive?+
It depends on your current plan and add-ons. Pipedrive's base pricing is competitive, but once you add Projects, LeadBooster, Smart Docs, and external integrations, total costs often exceed monday.com Pro. We'll model the exact comparison during your assessment.
